What do I do if I don't have a club affiliation number from my Regional/National Federation?

In these instances, please, just enter 'n/a'. We do however need club affiliation numbers where these exist, as we have to check on an annual basis with British Canoeing the affiliation status of each racing club.

Ability Classes and Age Classes are calculated automatically for new paddler registrations, but will be validated manually.

Ability Classes are based on 500m times and Gender

Age Classes are based on a paddler's date of birth and gender. These are used to calculate a racing age, which is based on what the paddlers age would be as at 1st January each year.

All New Paddler Registrations are reviewed and Ability Classes updated where required.

The system monitors all changes to 500m times, Gender, and Dates of Birth, and presents amended records to the person responsible for Rankings.

What should I do if an existing paddler joins my club from another racing club?

Please, use the Paddler details | Transfer paddler to club function if the paddler record exists. Please, don't use the Paddler details | Register new paddler function unless a paddler record doesn't exist, otherwise we'll end up with duplicate records.

How should I notify you of other changes to Paddler records?

Locate the paddler record using Paddler details | Registered club paddlers and then use the Edit function. Update all relevant fields.

What does the ≥ 2* competence field mean?

As a Team Leader you need to confirm that any paddlers racing for your club at National Regattas have achieved a level of paddling competence equivalent to, or greater than that described by the British Canoeing 2* award.

How do I request a re-ranking for an existing paddler?

Locate the paddler record using Paddler details | Registered club paddlers and then use the Edit function. Update the relevant 500m times and add a Note. Please, don't delete any Notes that are already present, just add to them. Save

This flags the record up to us for review. We will see the new time and note and make appropriate recommendations for changes to Ability Classes. Re-classifications have to be verified by the SRC before taking affect. You will be notified when this happens.

Age Classes are, however, calculated automatically based on Gender and Date of Birth. If anyone's Date of Birth is changed this paddler will need to be assessed for potential re-ranking.

How can I remove paddlers from my club who are no longer active?

We will be introducing functionality in the near future that will allow you to toggle a paddler between an Active and Inactive status. Setting any paddler record to Inactive will remove it from the list of paddlers that you are presented with in the Entries system.

Once this functionality is released, you can locate the paddler record using Paddler details | Registered club paddlers and then use the Edit function. Update the Active/Inactive field as required.

If the paddler is no longer with your club, and you don't want to keep the paddler record associated with your club, we can also transfer the paddler record to a 'storage' club. Just let us know who needs to be transferred.

Going forwards, we won't delete paddler records, as the system will be used to maintain a paddler racing history over time.

What should I do if my paddler has been set up with an incorrect DOB or Gender?

Please, amend the existing paddler record. Locate the paddler record using Paddler details | Registered club paddlers and then use the Edit function.

This will flag up the changes to us. We will then verify the automatically assigned Ability Class and Age Class.

What should I do if I find a duplicate record for a paddler?

We will shortly be releasing a 'Merge paddler records' function that will enable multiple records for the same paddler to be combined into a single record. We will let you know once these feature has been released.

Why are you asking for contact details for every paddler?

Actually, we're not. We only need contact details for those paddlers or non-paddlers who are representing their clubs as officials, e.g. Team Leader, Treasurer, Secretary etc. You only need to fill in the fields marked as mandatory. For club officials though, we do need contact details so that we can get in touch when we need to contact you.

Why are you asking for photos for every paddler?

Actually, we're not. This is voluntary. It would be great if as Team Leaders you could add your own photos, so that other Team Leaders know who to speak to at Competitions if they need to contact you. Hopefully, we can provide you with a dynamic and on-demand list of Team Leader names and contact details.

Going forwards though, the regatta results and racing histories, may be made available in the online results system, but without any contact details. It would be good to include photos alongside these results where appropriate.

Please, enter an expiry date 100 years from today.

How do I submit my entries?

You can create and edit the entries for your club up to the date and time that entries close. At this point your draft entry becomes your official entry. You do not need to submit it to us.

How do I know how much to pay?

The system will automatically calculate your entry fees and will give you a running total. When entries close, this will become the charge that you need to pay.

We are hoping to provide these details at the bottom of the Our entries screen and Print entries form. Once the above bug has been fixed, we will send you these payment details.

How do I enter a crew boat if one or more paddlers is paddling up a class?

Crew boats must include at least one paddler from the club entering the boat. At least 50% of the crew must also be of the correct class. Remaining seats can be filled by other paddlers in the same club paddling up, or by a paddler from the same class, or paddling up, from another specified club

The system is not yet capable of displaying paddlers in the Entries system from other classes who are available to paddle up. We are awaiting a new functionality release to support this. In the short term, please, enter the boat with at least one paddler, and advise us of those paddlers from your own club, or other clubs who might be paddling up. We should be able to add these individuals in to the entry directly in the database.
