Review timetable for issues/clashes

Look for the following issues when reviewing the timetable
- sufficient K4s available - *see Crew Boats section for the number of available boats. Boats are blocked out for 1 hour*
- event spacing between Heats, Finals, next Heats - *ensure min 45 mins, ideally 60 mins between Ability Class/Age Class events, and 90 mins between Selection events*
- sufficient time between distance stepdowns - *when stepping down a distance (1000 > 500, 1000 > 200, 500 > 200) keep at least 8 mins between events, particularly for 1000 > 200*
- that single finals are marked F, not F1/F2
- possible cross-class clashes, where avoidable, e.g. U18/16 vs A/B

First review

Checking draft Timetable - first review
- Check that events are ideally 45+ mins apart using colouring as the principle guide
- Check enough time space between reducing distance, i.e. 1000 > 500, 1000 > 200, 500 > 200 to allowance course to be clear of other events
- Check that if we don't have Final 2 (F2) or Final 3 (F3) races, then the event description shows F not F1, F2, or F3
- Check Para runs are in correct sequence, i.e. R1, R2, R3
- Identify and correct event title discrepancies against event naming convention
- Add times - Add race numbers - Check that there is an hour between K4 usage. We have 10 skinny Plastex boats and 16 more stable Commanders


- Merged the Girls A/B and Girls C K4 500m events and updated the spreadsheet name and number of entries
- Checked that events are ideally 45+ mins apart
- Checked enough time space between reducing distance, i.e. 1000 > 500, 1000 > 200, 500 > 200 to allowance course to be clear of other events
- Checked that if we don't have Final 2 (F2) or Final 3 (F3) races, then the event description shows F not F1, F2, or F3
- Checked that there is an hour between K4 usage based on available boats
- Added event times
- Added race numbers and can confirm that we have 253 races
- Added progressions info. I have marked a few queries in column K, which are highlighted in yellow. Please update these progressions if correct
- Updated days to dates in yyyy-mm-dd format ready for upload
- Dropped a note to Matej to inform him to expect a Start Lists request later today

Second review

Checking draft Timetable - second review
- Check corrections
- Check time gaps again
- Add Progressions info from the Progressions spreadsheet, if not already added
- Add dates in place of FRI/SAT/SUN in yyyy-mm-dd format
- Update race numbers - Add information lines, e.g. course opens, course closes, paralympic events etc
- Delete extraneous rows used for time separation, when no longer required
- Remove columns to the right of the data
- Remove rows below the data

Once approved, ask Matej to generate start lists


Preparing timetable for sign-off before upload

When preparing the timetable for upload, remember to do the following:
- Delete all columns to the right of the last populated column of the spreadsheet
- Delete all rows below the last populated column of the spreadsheet
- Replace long hyphens with short hyphens, but not in - R1, - R2, Paddle-Ability - Saturday, Paddle-Ability - Sunday, Canoe A-D - Mixed etc
- Replace , with ; in the CSV file
- Update date format to yyyy-mm-dd - The uploaded file needs to be UTF-8 encoded.

After selecting 'Import timetable / startlist' remember to change event code to correct number in URL, e.g. change from 10 to whatever the competition number is

Work through each error one by one, generally they relate to a difference between the Event name [Discipline] stated on the upload file compared to the Event name in the system. Correcting the latter allows you to progress. The error codes state the line number on the .csv file.

For non-event entries in the timetable, use the following syntax

Each row needs to be preceded by a 0, i.e. Event number = 0

Post-upload review

Check that the correct progression descriptions are applied. Note: when it states U18/U16, that's referring to U16 only when they are combined with U18s.
Check that the numbers progressing do add up and that the number of finals matches what we have allowed.
Do a final check on the time between heats/final and next events.
