For the Yellow number boards, we have Y1-Y10, then Y100-Y199, except for the following:
The following numbers have been lost, so should not be used

=Paddlers with disabilities or special needs=
We occasionally receive requests for paddlers to race in specific lanes, e.g. for hearing or sight impairment, or anxiety. We endeavour to support these requests if they are known about prior to timetabling and the preparation of the Start Lists.

=Importing Start List csv files into Excel=

When importing the Start Lists in csv format into Excel, remember to add the suffix to the first line of csv file with 12 semi-colons

;;;;;;;;;;;;

this allows all the C4 and K4 paddler records to be imported to Excel

Also set the import encoding to UTF-8 and update date format to yyyy-mm-dd

- Import Start List data into Excel, remembering to add enough ;;;; characters to reflect the K4 events
- Add spaces between events, and add correct lane order, e.g. 5, 6, 4, 7 etc. This takes approx. 30 minutes
- Take in lane draws, seedings, and paddler-specific issues. This can take between 45 minutes to 3 hours, depending on how many selection events there are. For MacGregor it took 45 mins.
- Send to Cathy for review

Upload start lists
Generate PDF of start lists
Once PDF has been approved, update 5000>500 and 2000>200 in the Online Entry System where required, e.g. for Paddle-Ability and Paracanoe races
Generate data file for HPP system and send to Jon
Compile programme and other materials for John
Compile Timetable, Start Lists, Regatta Guide and Programme for the website and upload to the website
Produce news item on website
Send cover photo to Trevor for use in Official Results along with PDF of cover for reference
Produce news item on BC Sprint Racing Committee Facebook page
Share Facebook news item with Racing Canoe Clubs Facebook page
Send final regatta bulletin to Team Leaders, including the Regatta Guide, and request payment
=Preparing the Start List file for import back into the Online Entry System=

When preparing the start list file for upload, remember to do the following:

Delete all columns to the right of the last populated column of the spreadsheet
Delete all rows below the last populated column of the spreadsheet
Replace long hyphens with short hyphens, but not in - R1, - R2, Paddle-Ability - Saturday, Paddle-Ability - Sunday, Canoe A-D - Mixed etc
Replace , with ; in the CSV file
Update date format to yyyy-mm-dd
The uploaded file needs to be UTF-8 encoded. After creating the csv file for upload, open it in an application like Notepad++ and check again that the coding is UTF-8, as it won't upload otherwise.
After selecting 'Import timetable / startlist' remember to change event code to correct number in the URL
Once the Start List has been completed, you can generate a print out using the following URL with the last number changed to the regatta number. Make sure that the PDF is output to A4 not US A4.
https://canoesprint.paddleuk.org.uk/public/default/startlist-print/3
=Actions to take after the Start List is signed off=

Once signed off, check the following:
- races have correct categorization, e.g. National Championship, Selection, Paddle-Ability etc
- races have correct distances set, e.g. 5000 > 500 and 2000 > 200
- races have correct naming, e.g. V1 not C1 for Va'a events

=Start List to support promotions/demotions=

There is a special version of the Start List to support promotions and demotions. This includes both the Age Class and any Ability Classes for each paddler.

=Competitions=
When creating a competition, ensure that the 'Entries close' date is initially entered before today's date. This means that the competition won't be visible to Team Leaders until we're ready to open it up after internal review.

=Events=

We aim to provide 6 events for each paddler class at each Regatta. Generally, there's not enough time during the weekend to support more than 6 events, particularly when there are potentially heats and finals for each of these events and allowing for an hour's gap between races for paddlers.

=Event naming convention=

When setting events up in the Online Entry System, please, adopt the following naming conventions

Reduce the number of characters by shortening the overall length as much as possible:
* Men is plural so there is no need for Mens, similarly Women
* If you use Mens or Womens, don't add a single quote, not Men's or Women's
* Combine adjoining classes with an oblique, not space-plus-space or space-ampersand-space
* Combine wider classes with hyphen, not space-to-space
* Men Masters can be shortened to Masters
* Women Masters can be shortened to WMasters
* Reduce Over to O, so Over 44 (7 chars) becomes O44 (3 chars)
* Reduce Under to U, so Under 14 (8 chars) becomes U14 (3 chars)
* Remove single quote from Va'a, make it Vaa (or Va-a?)
* Consider removing Va'a altogether as Va'a is indicated by boat type V1
* Reduce Saturday to Sat
* Reduce Sunday to Sun

Do not use the following characters:
* ampersand (&)
* single quote (')
* double quote (")
* colon (:)
* semi-colon (;)
* equals (=)
* asterix (*)
Paddle-Ability - Saturday
Paddle-Ability - Sat
==Creating Events==
When setting up events, remember to include the event category, e.g. Mini-sprint series, Paddle-ability, National Championship, Selection etc. These categories appear on the Start Lists next to each event.

==Racing-up Categories==
Different racing-up categories apply for Selection events compared to National Championship events, e.g. in an U18/16 event, U14s are not eligible for selection and so should not be included as a valid racing-up class.

==Mixed Crew Events==

The system allows us to control what percentage of the correct class needs to be in each crew boat for the entry to be valid.

This can be set up using the 'Ratio' value.

0% or NULL means not applicable.

25% means at least one paddler has to be from the higher class, i.e. not racing-up class.

50% means at least two paddlers have to be from the higher class, i.e. not racing-up class.

The Ratio can also be used for mixed crew boats. In this instance, all the gender classes should be split between the higher class and the racing-up classes, i.e. men or boys classes in one column, women or girls classes in the other. It doens't match which way round these are. You can then apply a 50% ratio value.

During entries, the system enforces the ratio and throws up an error message.

==Merging Events==
1. The timetable has to be truncated. You can truncate the timetable from import menu.
2. In events setting you just select the event to merge and system automatically rename the event and merge the entries from selected events.
3. Older events are automatically deleted.
4. Edit the event name to be more prettier

=Combined National Championship events and medals=

Do you know if the Seniors and U23 will race together with results separated, or will they have separate races? Similarly, will the Senior / U23 Mixed K2 follow the same format?
For the events shown on the event schedule as being across both Senior & U23, such as the K1 200m, they will be run as one combined event. With one result, however, as these events are National Championship events, the x3 medals will be awarded for each age group. That is the first three fastest seniors, and the first three fastest U23 athletes.
For crew boats, the age group will be the oldest age group in the boat, i.e. in a K2 or K4, if all are U23, they will be considered as U23; if, however, one athlete is a Senior and others U23, they will be considered for medals as a senior boat.
The Mixed Men/Women K2 500m is a different format as they are shown on the event schedule as separate events, each age group will be run separately.
Chase Team Leaders to resolve Unresolved and Incomplete Boats
=Procedures at entries close=
==De-duplicate or approve Incomplete or Unconfirmed Entries==
- Take screengrabs of entries summary list by club and any incomplete and unresolved boats
- Accept incomplete entries and unresolved entries
- If there are duplicate entries or if you need to accept Unconfirmed or Incomplete entries, use the following link syntax substituting the number at the end of the link with the number for the specific event
https://canoesprint.paddleuk.org.uk/competition/events/checkup/42
- At present, the entry costs associated with Incomplete or Unconfirmed entries, which are subsequently accepted using this Admin feature, aren't currently being charged back to the respective clubs or squads.
- Take screengrabs of entries summary list by club again
- Generate the event list (heats and finals) from Online Entry System, remembering to select the correct event number in the URL, paste it into Excel, and send it to Cathy

==Identify event merges and request seeding lists==
Review the events list and proposed numbers of heats and finals
Identify those events that won't run and for which refunds are required
Identify those events that have limited entries
Identify where events with limited entry numbers can be merged
For seeded events, prepare lists and send these to the individuals who will prepare those lists
- Seniors
- Juniors
- Canoes
- Paracanoe
- Paddle-Ability
Identify where events with small entry numbers, could potentially be run concurrently with separate results, i.e. not merged
==Apply event merges and prepare coloured-up file for timetabling==
Note - Applying Merges and generating the Coloured-up file for the timetabling process takes about 2 hours
- Merges take approx 30-50 mins
-- When merging, remember to copy the Classes, Racing-up Classes, and Event names to a separate file, as the merge function doesn't merge these correctly, so prepare these outside of the system
- Adding in days takes approx 20-40 mins (using Excel filters really speeds up the process)
- Colouring up takes approx 20-50 mins (sort by Event type only to prepare file)

- Regenerate event list
- Paste it into Excel
- Delete system-generated Progression information. This will be corrected and added back in later in the process
- Add in a Correct Distance column to supplement the system workaround distances to help with timetabling
- Add days (not dates) for each event based on the event schedule, e.g. SAT, SUN, MON. These will be corrected to dates later in the process, but it's easier to work with these as Days for Timetabling
- Colour up the events in Excel, ideally showing all relevant colours for Mixed events
- Sort the file by Day, then by Event, then by Boat Type, then by Correct Distance

When importing the Start Lists in csv format into Excel, remember to add the suffix to the first line of csv file with 12 semi-colons

;;;;;;;;;;;;

this allows all the C4 and K4 paddler records to be imported to Excel

= Review timetable for issues/clashes =

Look for the following issues when reviewing the timetable
- sufficient K4s available - *see Crew Boats section for the number of available boats. Boats are blocked out for 1 hour*
- event spacing between Heats, Finals, next Heats - *ensure min 45 mins, ideally 60 mins between Ability Class/Age Class events, and 90 mins between Selection events*
- sufficient time between distance stepdowns - *when stepping down a distance (1000 > 500, 1000 > 200, 500 > 200) keep at least 8 mins between events, particularly for 1000 > 200*
- that single finals are marked F, not F1/F2
- possible cross-class clashes, where avoidable, e.g. U18/16 vs A/B
=Review timetable=
===First review===
Checking draft Timetable - first review
- Check that events are ideally 45+ mins apart using colouring as the principle guide
- Check enough time space between reducing distance, i.e. 1000 > 500, 1000 > 200, 500 > 200 to allowance course to be clear of other events
- Check that if we don't have Final 2 (F2) or Final 3 (F3) races, then the event description shows F not F1, F2, or F3
- Check Para runs are in correct sequence, i.e. R1, R2, R3
- Identify and correct event title discrepancies against event naming convention
- Add times
- Add race numbers
- Check that there is an hour between K4 usage. We have 10 skinny Plastex boats and 16 more stable Commanders
- Merged the Girls A/B and Girls C K4 500m events and updated the spreadsheet name and number of entries
- Checked that events are ideally 45+ mins apart
- Checked enough time space between reducing distance, i.e. 1000 > 500, 1000 > 200, 500 > 200 to allowance course to be clear of other events
- Checked that if we don't have Final 2 (F2) or Final 3 (F3) races, then the event description shows F not F1, F2, or F3
- Checked that there is an hour between K4 usage based on available boats
- Added event times
- Added race numbers and can confirm that we have 253 races
- Added progressions info. I have marked a few queries in column K, which are highlighted in yellow. Please update these progressions if correct
- Updated days to dates in yyyy-mm-dd format ready for upload
- Dropped a note to Matej to inform him to expect a Start Lists request later today
===Second review===
Checking draft Timetable - second review
- Check corrections
- Check time gaps again
- Add Progressions info from the Progressions spreadsheet, if not already added
- Add dates in place of FRI/SAT/SUN in yyyy-mm-dd format
- Update race numbers
- Add information lines, e.g. course opens, course closes, paralympic events etc
- Delete extraneous rows used for time separation, when no longer required
- Remove columns to the right of the data
- Remove rows below the data
==Upload Timetable to Online Entry System==
Check online view
Once approved, ask Matej to generate start lists
= Preparing timetable for sign-off before upload =

When preparing the timetable for upload, remember to do the following:
- Delete all columns to the right of the last populated column of the spreadsheet
- Delete all rows below the last populated column of the spreadsheet
- Replace long hyphens with short hyphens, but not in - R1, - R2, Paddle-Ability - Saturday, Paddle-Ability - Sunday, Canoe A-D - Mixed etc
- Replace , with ; in the CSV file
- Update date format to yyyy-mm-dd
- The uploaded file needs to be UTF-8 encoded. After creating the csv file, open it in an application like Notepad++ and check again that the coding is UTF-8, as it won't upload otherwise

After selecting 'Import timetable / startlist' remember to change event code to correct number in URL, e.g. change from 10 to whatever the competition number is
https://canoesprint.paddleuk.org.uk/import/offline/default/10

Work through each error one by one, generally they relate to a difference between the Event name [Discipline] stated on the upload file compared to the Event name in the system. Correcting the latter allows you to progress. The error codes state the line number on the .csv file.

For non-event entries in the timetable, use the following syntax

;;;;V;2021-09-04;08:00;;;Course Open

;;;;V;2021-09-04;08:15;;;Start Gate Practice at 200m Start

;;;;V;2021-09-04;08:45;;;Course Cleared

Each row needs to be preceded by a 0, i.e. Event number = 0

= Post-upload review =

Check that the correct progression descriptions are applied. Note: when it states U18/U16, that's referring to U16 only when they are combined with U18s.
Check that the numbers progressing do add up and that the number of finals matches what we have allowed.
Do a final check on the time between heats/final and next events.
Once signed off, check the following:
- races have correct categorization, e.g. National Championship, Selection, Paddle-Ability etc
- races have correct distances set, e.g. 5000 > 500 and 2000 > 200
- races have correct naming, e.g. V1 not C1 for Va'a events

=Start List to support promotions/demotions=

There is a special version of the Start List to support promotions and demotions. This includes both the Age Class and any Ability Classes for each paddler.

When importing the Start Lists in csv format into Excel, remember to add the suffix to the first line of csv file with 12 semi-colons

;;;;;;;;;;;;

this allows all the C4 and K4 paddler records to be imported to Excel

Also set the import encoding to UTF-8 and update date format to yyyy-mm-dd

- Import Start List data into Excel, remembering to add enough ;;;; characters to reflect the K4 events
- Add spaces between events, and add correct lane order, e.g. 5, 6, 4, 7 etc. This takes approx. 30 minutes
- Take in lane draws, seedings, and paddler-specific issues. This can take between 45 minutes to 3 hours, depending on how many selection events there are. For MacGregor it took 45 mins.
- Send to Cathy for review
Delete all columns to the right of the last populated column of the spreadsheet
Delete all rows below the last populated column of the spreadsheet

===First review===
===Second review===

* Reduce Over to O, so Over 44 (7 chars) becomes O44 (3 chars)
* Reduce Under to U, so Under 14 (8 chars) becomes U14 (3 chars)
* Remove single quote from Va'a, make it Vaa (or Va-a?)
* Consider removing Va'a altogether as Va'a is indicated by boat type V1
* Reduce Saturday to Sat
* Reduce Sunday to Sun

Do not use the following characters:
* ampersand (&)
* single quote (')
==Creating Events==
When setting up events, remember to include the event category, e.g. Mini-sprint series, Paddle-ability, National Championship, Selection etc. These categories appear on the Start Lists next to each event.

==Mixed Crew Events==

==Merging Events==

• Men is plural so there is no need for Mens, similarly Women
• If you use Mens or Womens, don't add a single quote, not Men's or Women's
• Combine adjoining classes with an oblique, not space-plus-space or space-ampersand-space
• Combine wider classes with hyphen, not space-to-space
• Men Masters can be shortened to Masters
• Women Masters can be shortened to WMasters
• Reduce Over to O, so Over 44 (7 chars) becomes O44 (3 chars)
• Reduce Under to U, so Under 14 (8 chars) becomes U14 (3 chars)
• Remove single quote from Va'a, make it Vaa (or Va-a?)
• Consider removing Va'a altogether as Va'a is indicated by boat type V1
• Reduce Saturday to Sat
• Reduce Sunday to Sun

Do not use the following characters:
• ampersand (&)
• single quote (')
• double quote (")
• colon (:)
• semi-colon (;)
• equals (=)
• asterix (*)
==Creating Events==
When setting up events, remember to include the event category, e.g. Mini-sprint series, Paddle-ability, National Championship, Selection etc. These categories appear on the Start Lists next to each event.

==Mixed Crew Events==

4. Edit the event name to be more prettier

=Combined National Championship events and medals=

If they wish to use a Va'a boat but are not fast enough for the Paracanoe they can race in the Paddle-Ability without any formal classification of their impairment. We occasionally receive requests for paddlers to race in specific lanes, e.g. for hearing or sight impairment, or anxiety. We endeavour to support these requests if they are known about prior to timetabling and the preparation of the Start Lists.

=Importing Start List csv files into Excel=

When importing the Start Lists in csv format into Excel, remember to add the suffix to the first line of csv file with 12 semi-colons
;;;;;;;;;;;;

this allows all the C4 and K4 paddler records to be imported to Excel

Also set the import encoding to UTF-8 and update date format to yyyy-mm-dd

- Import Start List data into Excel, remembering to add enough ;;;; characters to reflect the K4 events
- Add spaces between events, and add correct lane order, e.g. 5, 6, 4, 7 etc. This takes approx. 30 minutes
- Take in lane draws, seedings, and paddler-specific issues. This can take between 45 minutes to 3 hours, depending on how many selection events there are. For MacGregor it took 45 mins.
Delete all columns to the right of the last populated column of the spreadsheet
Delete all rows below the last populated column of the spreadsheet
